JOB DESCRIPTION

January 28, 2026
POSITION:                              High School Guidance Secretary
 
QUALIFICATIONS:              Proficiency in secretarial skills, office procedures, computer technology, and computer software. Strong interpersonal skills and the ability to work with students and adults is also required.                        
 
# DAYS/MONTHS WORK:   200 days per year (7.5 hours per day)
 
REPORTS TO:                        Guidance Director (works closely with building principal, assistant principal, and any associate guidance personnel.)
 

RESPONSIBILITIES:

 
  • Assisting in scheduling related tasks as advised by guidance personnel.
 
  • Gathering, updating, and maintaining data utilized by school personnel to review the progress of curricular programs, instructional methodologies, and instructional personnel as they relate to student achievement and student learning.
 
  • Assisting in the corporation’s/school’s communication with parents and students through the distribution of student grades, publication of honor rolls, assistance with college applications, distribution and assistance with scholarship materials, updating and maintaining the guidance website, and transmission of student records to educational institutions.
 
  • Maintaining student records in a professional and confidential manner.
 
  • Organizing, adding, and updating the monthly scholarship list for the Guidance Director.  This includes being the main point of contact for all scholarship donors and organizations and having applications readily available for students. 
  • Responsible for all graduation verification emails and phone calls.
 
  • Assisting in the coordination of all high school and middle school state testing and AP testing. 
 
  • Assisting in the coordination of all testing and the establishment of a variety of remediation programs.
 
  • Assisting students with a variety of services including college visitations, guidance scheduling, and graduation information.
 
  • Organizing programs and publications associated with honoring student academic achievements (i.e. Senior Honors Night).
 
  • Compiling information for state reports.
 
  • Tracking new and withdrawing students and providing proper notification to administrative staff and teachers.
 
 
 
 
  • Updating the Website daily in order to keep students and parents informed on scholarship possibilities, academic testing, etc.
 
  • Performing other duties as assigned by the building principal or Guidance Director. 
 
  • Providing other secretarial duties as required within the Middle/High school offices.  Assists in answering phone calls and welcoming visitors into the building.
 
  • Serves as the registrar for entering all incoming student transfer grades, test scores, and other educational related information.
